1. About The Well Multi-Cultural Resource CentreÂ
The Well Multi-Cultural Resource Centre (The Well) is a Company Limited by Guarantee (SC398700) and a Charity registered with the Office of the Scottish Charity Regulator (OSCR) (SC042300). The Well is an organisation which works with ethnic minorities in Greater Govanhill Glasgow by giving them opportunities to have their voices heard, to improve their skills and become more confident in participating in their own communities and in social life more widely through one -to-one Advice Consultations and friendship building activities.
This document explains what kind of information we collect and store about you, how we store it safely and handle it. It also explains your rights to the information The Well holds about you and how to address any complaints regarding how we manage your personal information.
2. Why does The Well need information about you?
During your time engaging with The Well, the staff/volunteer(s) working with you will need to collect some information from you. The reason for this is to help us better understand your circumstances and needs to ensure we are providing you with the service which is right for you.
3. What may The Well do with your information?
The Well will use your information to understand what your specific needs are and how we can best meet them. It might be you are looking for support to apply for benefits, or enter employment or to improve your English language skills; you might need support with your emotional well-being or to stay safe from abuse; it might be all of the above or something not included in this list. In most cases, your information will be used to make sure we are supporting you in the best way we can.
Information sharing with other agencies will only take place with your consent except in specific exceptional circumstances where we may have to disclose your personal information without your consent. These are:
- We believe a child or a vulnerable adult is at risk of serious harm
- We believe that an individual is in immediate danger and that there is a potentially life threatening situation
- We receive a court order requiring us to share information or are required to do so by legislation
- We receive information about acts of terrorism, bomb warnings, or other threats to life
- You threaten the safety of our staff or the delivery of our service.
We make sure that all data sharing is done securely, and that it is proportionate. By proportionate, we mean that we share only the minimum amount of personal data required, and only with those that need to have access to this information.
In certain circumstances, we will notify you of any changes to information we collect or the purposes for which we collect and process it.
4. How does The Well protect your information?
The Well treats your personal information with confidence and with the utmost respect for your privacy. Any information we hold on you will be kept securely on electronic databases on AdvicePro and/or paper documents in our office, depending on where you are accessing a service.
With your permission, The Well might share some relevant information about you with other organisations and agencies which might help you, such as health or education services. The only time your information will be shared without your permission is in the unlikely event there is an emergency, if your life and safety are at risk, or the life and safety of someone else (especially a child) might be at risk.
The Well reassures you that, should sharing your information be considered necessary, we will always endeavour to consult you on this matter first. For more information, please ask about our Data Protection Policy.
5. How long your information will be kept for
The Well will hold your information for the duration of your time receiving a service from us. Once you are no longer receiving a service, we will retain your information for 5 years. Sometimes we need to use statistical information to help us continue our work by applying for funding. This means we need to process information to allow us to understand how you use our services so we can continue to improve. Any information we use to do this will be completely anonymised.
6. Your rights about your information held by The Well
We respect your rights over your personal data. With regards to your personal data, you have the right to:
- Request access to the personal data we hold about you.
- Request copies of the personal data we hold about you in order to transmit this information to another service provider.
- Request the correction of your personal data when incorrect, out of date or incomplete.
- Withdraw your consent from any consent-based processing of your personal data.
- Object to any processing of your personal data that has its basis in legitimate interest.
- Challenge the accuracy or lawful basis of the processing of your data and request a temporary restriction of this processing.
- Request the deletion of all the personal data that we hold about you and an end to the processing of this data. Please note that we may be required to store some of your personal data after this request to comply with our legal obligations.

7. Who we might share your information with and why
The Well will always endeavour to seek your consent before sharing your information with any other organisation, agency or professional who might need to become involved in your support journey, unless there is an emergency or there are serious concerns about your own/someone else’s safety and well-being. In which case, we are legally obliged to share your information to make sure you are safe and well.
8. Does The Well transfer my personal information overseas?
The Well does not routinely have any reason to transfer any personal information overseas outside the European Economic Area. If The Well considers this necessary, it will comply with the Data Protection Requirements in effect at the time.
9. Who can I speak to regarding any of my information held by The Well?

10. What types of information The Well might need from you and share if necessary
In order for The Well to understand your circumstances and needs so we can provide you with the right support, we need some or all of the information outlined below. This is also the kind of information we might need to share with individuals or organisations mentioned in section 4 above.
Personal Information:
We may keep: Name, Date of Birth, Address, Home and Mobile Telephone numbers, email address, Family details and protected characteristics, NI number, Next of kin/emergency contact.
Sensitive Personal Information:
Ethnicity, Nationality, Home Circumstances.
11. Photo Consent
By registering for our services, you acknowledge and accept that photographs may be taken during events. However, you can choose to opt out of being photographed. If you prefer not to be included in photos, please inform a member of staff on the day indicating your preference.
Photo(s) will remain the property of The Well and will be used for the designated purpose of promoting The Well’s aims. This may include but is not limited to the right to use them in The Well’s printed and online publicity, social media, press releases and funding applications.
12. Mailing List Consent
By signing up to any of our newsletter through the The Well’s  website, you will automatically be added to our MailChimp mailing list to receive our newsletters, information on upcoming events, activities and campaigns. You may choose to opt out by unsubscribing at any time.
13. Consent
The Well asks you consent to collecting the above necessary information in order to understand your needs and provide you with the service you need. We also ask you consent to us sharing this information when absolutely necessary with individuals and organisations mentioned in sections 4 and 7 above.
